Trigger mechanisms
Email arrival (monitored mailbox), portal form submission, API event from CRM or case management, or manual trigger via UI.
Conflict check
Queries your existing conflicts database via ODBC or REST API. Returns clear/conflict/potential conflict with matched matter references.
Matter creation
Writes matter number, client ID, practice area, billing partner, rate table and responsible fee-earner to your PMS via API.
Task generation
Task templates configurable per matter type and practice area. Tasks assigned to correct timekeeper roles, with deadlines calculated from instruction date.
Notification
Fee-earner notification via email or Teams. Client acknowledgement via email from your domain using configurable template.
Fallback handling
Conflict flags, missing data or PMS write failures are routed to a human review queue with full context and suggested resolution.
Audit trail
Every intake event logged: trigger, conflict result, PMS write confirmation, task creation and notification delivery. Timestamped and immutable.
